10th International Conference on Immersion and Dual Language Education (#Global27)

These Participant Terms apply to everyone who takes part in the Conference — attendees, speakers and presenters, sponsors, exhibitors, and their staff and representatives (each, a “Participant”) — and are provided by the Dual Language and Multilingual Alliance/DLMA (the “Conference”).
By checking the acknowledgment box(es) during registration, the Participant confirms they have reviewed these Terms and agree to abide by them, including the photography, video, and audio release and the assumption of risk and release of liability. No signature is required. The Conference takes place March 16–19, 2027 at the JW Marriott Reston Station, Reston, Virginia (the “Venue”).
1. Our Shared Commitment
The Alliance is dedicated to providing a welcoming, respectful, and harassment-free experience for everyone, regardless of background or identity. All Participants are expected to help create a professional and inclusive environment.
2. Expected Behavior
Every Participant agrees to:
- Treat all attendees, staff, volunteers, presenters, sponsors, partners, and Venue personnel with respect and courtesy;
- Refrain from discrimination or harassment of any kind, including on the basis of race, ethnicity, national origin, language, religion, sex, gender identity or expression, sexual orientation, age, disability, or any other characteristic protected by law;
- Use inclusive and respectful language in sessions, conversations, and materials;
- Follow the published program, session rules, and reasonable instructions from Conference staff and Venue personnel;
- Respect the privacy of others and refrain from recording or photographing other Participants without their consent (see Section 5 regarding Conference-authorized recording); and
- Comply with all applicable Venue policies, safety requirements, and laws.
3. Unacceptable Behavior
The following will not be tolerated:
- Harassment, intimidation, bullying, or discrimination in any form, whether in person or online;
- Unwelcome sexual attention, advances, or comments;
- Disruption of sessions, exhibits, or Conference activities;
- Unauthorized sales, promotion, fundraising, or charitable or other solicitation, by any Participant, including sponsors and exhibitors outside their approved space, without the Conference’s prior written approval;
- Disparaging or knowingly false statements about the Conference, the Alliance, its hosts, sponsors, partners, or other Participants; and
- Any conduct that endangers the safety or well-being of others.
4. Consequences & Reporting
Participants who are asked to stop unacceptable behavior are expected to comply immediately. The Alliance may take any action it considers appropriate, including a warning, removal from a session or the Venue, or removal from the Conference without refund and without further obligation. To report a concern, visit the Registration Desk and request an Executive Committee Member. Reports will be handled as discreetly as reasonably possible.
5. Photography, Video & Audio Release
The Participant acknowledges and agrees that:
- The Alliance and its authorized representatives will photograph, film, live-stream, and audio-record throughout the event and the Venue, including in session rooms, common areas, exhibit and networking spaces, and social events;
- Because recording occurs throughout shared spaces, the Alliance cannot guarantee that any individual will be excluded from these photographs, videos, or recordings;
- The Participant grants the Conference, its hosts, and sponsors an irrevocable, royalty-free, worldwide license to capture, use, reproduce, edit, publish, and distribute their image, likeness, voice, and statements in any media, now known or later developed, for promotional, educational, archival, and related purposes, without compensation, notice, or further approval; and
- The Participant waives any right to inspect or approve the finished materials and releases the Alliance and Conference from any claim arising from their use.
If the Participant prefers not to be featured in promotional materials, they may notify info@dli-alliance.org in advance, and the Alliance will make reasonable efforts to accommodate that request, though it cannot guarantee exclusion from all footage captured in shared spaces.
6. Assumption of Risk, Release & Hold Harmless
The Participant understands that attending an in-person event involves inherent risks, including travel, physical activity, interaction with others, and exposure to illness. To the fullest extent permitted by law, the Participant voluntarily assumes these risks and, on behalf of themselves and their heirs and representatives, releases and agrees to hold harmless the Dual Language and Multilingual Alliance, its hosts, sponsors, partners, the Venue, and their respective officers, employees, volunteers, and agents (the “Released Parties”) from any and all claims, demands, or liability for injury, illness, death, loss, or damage, whether physical or emotional, arising out of or relating to the Participant’s attendance at or participation in the Conference. This release does not apply to liability arising from a Released Party’s gross negligence or willful misconduct, or to any liability that cannot be waived under applicable law.
The Participant further agrees to indemnify and hold the Released Parties harmless from any claim, loss, or expense (including reasonable attorneys’ fees) arising from the Participant’s own acts, omissions, or violation of this Agreement.
7. General
- This Agreement is governed by the laws of the State of Virginia, without regard to conflict-of-law rules.
- If any provision is found unenforceable, the remaining provisions stay in full effect.
- This Agreement is the complete understanding between the Participant and the Alliance regarding the matters it covers.
8. Acknowledgment
Participants accept these Terms by checking the required acknowledgment box(es) during registration. The Alliance records the date and time of each acknowledgment; no physical signature is collected. By checking the box(es), the Participant confirms they have read, understood, and agree to be bound by this Code of Conduct & Participant Agreement, including the photography, video, and audio release (Section 5) and the assumption of risk, release, and hold-harmless terms (Section 6).
